1. About this policy
This Privacy Policy explains how VanityXo LLC (“VanityXO”, “we”, “us”) collects, uses and shares personal information when you use the VanityXO customer portal and related services (the “Services”). By using the Services you agree to this policy.
The Services are for people aged 18 or over. We don’t knowingly collect information from anyone under 18; if we learn we have, we will delete it.
2. Information we collect
Information you give us:
- Account details: name, company name, email address, password, preferred language and time zone.
- Your phone number, which we verify by text message or call.
- Billing and delivery addresses.
- Payment information. Card details are entered into and stored by our payment processor; we receive only limited details such as the card brand, last four digits and expiry date.
- Orders, numbers, account credit activity and requests you make, including anything you write or attach to a support request.
- Details of people you invite as sub accounts: their name and email address.
- Messages you send us.
Information collected automatically:
- Technical data such as IP address, browser and device type, and the pages and features you use, recorded in server and security logs.
- Cookies and similar storage that the portal needs to work: keeping you signed in, remembering your language and your cart, and your display preferences. We don’t use advertising cookies, and we don’t currently use analytics or tracking cookies.
3. How we use it
- To create and secure your account, including reviewing and approving new accounts.
- To deliver the numbers you order and provide the account numbers and PINs needed to port them.
- To take payments, manage account credit, issue refunds and keep financial records.
- To send service emails, such as email confirmation, password reset, order, delivery, expiry and account updates. You can’t turn off essential account emails.
- To send promotional emails if you choose to receive them. You can turn these off in My Account → My Notifications at any time.
- To answer support requests and feedback.
- To prevent, detect and investigate fraud, chargebacks and misuse, as described in our Fraud Policy.
- To maintain and improve the Services, and to comply with law and enforce our Terms.
4. Who we share it with
We don’t sell your personal information. We share it only as follows:
- Service providers who run parts of the Services for us under contract: hosting and infrastructure (Amazon Web Services and Vercel), sign-in and email delivery (Amazon Cognito and Amazon SES), payments (our card payment processor), phone verification, and our commerce and support tools.
- Wireless carriers and number suppliers, to the extent needed to provide and port your numbers.
- Your account owner, if you use VanityXO as a sub account.
- Payment processors, banks, carriers and law enforcement, where reasonably needed to prevent or investigate fraud or to respond to a chargeback.
- When required by law, court order or other legal process, or to protect the rights, property or safety of VanityXO, our customers or others.
- To a buyer or successor if our business is merged, acquired or sold, subject to this policy.
5. How long we keep it
We keep account information while your account is open. After it closes, we keep order, payment and fraud-prevention records for as long as we need them for legal, tax, accounting and dispute purposes, then delete or anonymize them.
6. Security
We use technical and organizational measures to protect your information, including encrypted connections, hashed passwords and restricted access. No system is completely secure, so we can’t guarantee absolute security. Keep your password and each number’s PIN private.
7. Your choices and rights
- You can review and update your profile, addresses and email preferences in My Account.
- You can ask us for a copy of your personal information, or to correct or delete it, by emailing support@vanityxo.com. Deleting your information closes your account; we may keep records we are required to keep.
- California residents have the right under the CCPA to know what personal information we collect, use and disclose, to request deletion or correction, and not to be discriminated against for exercising these rights. Send requests to support@vanityxo.com. We will verify your request before acting on it.
- Residents of other states may have similar rights under their state laws, which you can exercise the same way.
8. Where we process it
The Services are offered in the United States, and we store and process information in the United States.
9. Changes to this policy
We may update this policy from time to time. We’ll post the new version here with a new “Last updated” date, and for material changes we’ll email the account owner.
